Section B: Explanation of Communication Styles

Why Were These Communication Styles Selected?

The email to Sarah employs a formal tone because her leadership style is described as structured and detail-focused. According to course materials, individuals who appreciate clear communication and organization prefer a professional tone, precise schedules, and clearly defined goals. The formal greeting, closing, and a detailed agenda are intended to meet her preference for clarity and thoroughness (Course information explains, Lessons 2.4–2.5).

In contrast, the email to Joe uses an informal, conversational style, reflecting his flexible and spontaneous leadership approach. The casual tone, straightforward introduction, and invitation to lunch create a relaxed atmosphere, which suits his hands-on and adaptable management style. Research supports that tailoring communication style to individual preferences improves collaboration and trust (Adler et al., 2019).

How Do the Two Emails Differ?

These two emails are distinct in tone, structure, and purpose. The message to Sarah is formal, including specific arrival times, a comprehensive agenda, and a professional tone that emphasizes preparation and organization. On the other hand, the message to Joe is friendly and brief, focusing on building rapport rather than detailed planning.

This contrast highlights the importance of adapting communication to suit different personalities and leadership styles. While Sarah benefits from detailed planning and order, Joe thrives in a more spontaneous and flexible setting. Both approaches, when balanced, contribute to the team’s overall effectiveness by blending structure with creativity. Adapting communication styles ensures smooth collaboration across diverse groups and leadership styles (Course information explains, Lessons 3.2–3.5).

Section C: Source Acknowledgment

This assignment does not require external sources; however, the ideas related to communication styles and audience adaptation are drawn from the course material, especially Lessons 2.4–2.5 and 3.2–3.5.
